Overview

The Executive Assistant provides confidential and high-level administrative and organizational support to the Chief Legal and General Counsel Officer. In addition, they perform a wide variety of clerical, administrative and staff support services in a senior leadership environment, to ensure organizational goals are communicated, achieved, and that the department runs efficiently.

Responsibilities

  • Conducts research, develops reports and presentations, and ensures discreet handling of all business.
  • Serve as administrative liaison and business partner with others within, and outside the company regarding administrative and operational issues.
  • Manages calendars, appointments, events, meeting, and all logistics for assigned staff. Develops comprehensive plans to support customers and internal events to include, customer meetings, recognition events, training meetings and executive calendars.
  • Reconciles credit card statements and monthly expenses.
  • Prepares drafts and summaries of reports in preparation for meetings; prepares necessary meeting materials including agendas and meeting minutes.
  • Communicates and tracks assignments issued from the Chief Legal and General Counsel Officer  to department Directors. Makes recommendations to Directors regarding pertinent data and information in proposals and reports.
  • Assists in the preparation and control of records, statistics, and reports regarding operations, personnel changes and outside stakeholder and vendors.
  • Assists in budget preparation and control reporting, and tracking.
  • Reviews department need requests and makes recommendations to the Chief Legal and General Counsel Officer including access requests, contracts, work orders, purchasing, etc.
  • Receives and screens visitors; demonstrates professionalism and exhibits high standards of guest service.
  • Assists with the maintenance of inventory of office supplies and materials for department operations; submits check requests and purchase orders as needed.
  • Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner.
  • Receives, sorts, and distributes mail to the appropriate recipient.
  • Prepares memos or correspondences on behalf of the Chief Legal and General Counsel Officer .
  • Maintains confidentiality with regards to information that is sensitive and confidential.
  • May be responsible for the timely and accurate submission of Team Member timekeeping reports to Payroll, Personnel Action Forms (PAFs) and other internal e-forms as needed.

Qualifications

  • High School Diploma or GED Certificate.
  • Bachelor’s Degree in Business, Communications or equivalent work experience is preferred.
  • Three years of related experience in similar capacity or administrative position with increasing scope of responsibility.
  • Knowledge of business and accounting systems and methods.
  • Knowledge of budgeting and planning.
  • Advanced computer proficiency utilizing Microsoft applications, e-mail, and internet.
  • Native American hiring preference applies.
